Define the use and the accommodation
State whether the request is for cruising, nights aboard or a gathering alongside. The permitted guests can differ between settings. For a stay, explain couples, single beds, children and privacy requirements, then review the actual cabin and bathroom plan.
More practical details
For a daytime gathering, circulation, shade and dining places may matter more than cabins. Ask which guest areas can be used and how the crew’s service is organised. Length alone is not a measure of suitability.
Request the full arrangement
Fuel, provisioning, berths, transfers, delivery and applicable taxes or an expense allowance should be explained where they apply. Ask how additional spending is authorised and reconciled rather than assuming a standard structure for every offer.
More practical details
The named yacht’s images, crew, dates, first and last ports and cancellation terms belong in the proposal. Confirm the selected yacht’s availability and berth arrangements for your dates.
Add your arrival and comfort details
A short letter before you go
Tell us where you expect to arrive, then add what would help your company feel comfortable aboard. Those two details give the outing a useful beginning.
